Event Planning and Registration Procedures and Policies
- Review the UWG Event Planning and Registration Policy
- Submit External Event Interest Form for Non-University Affiliated Groups
- Events shall be scheduled using the approved event scheduling system (Reserve West) to ensure all approvals/requirements are met (including security).
- All Third parties will complete a Facility Use Agreement
- All Third parties will provide a Certificate of Insurance (COI)

Events With Minors on Campus
UWG has established a centralized database to track programs and activities serving minors held on and off campus. Program Administrators are asked to answer basic questions about their program or activity and provide 24-hour contact information. Registration also requires certification of compliance with UWG PL 7004, Protection of Minors on Campus and associated procedures. All programs and activities must be registered, whether University-sponsored or hosted by third parties in University facilities.

All individuals, paid or unpaid, who are authorized by UWG officials to have direct contact with minors, including supervision of minors are considered Assigned Adults.
Effective May 1, 2024 all Assigned Adults are required to complete the Pro Solutions Mandated Reporters: Critical Links in Protecting Children in Georgia Training Course each fiscal year before they begin working with minors in programs sponsored by UWG and/or hosted on UWG campuses and properties.
Third party sponsored events hosted on UWG campuses and properties can also utilize this training for their employee and/or volunteers who are Assigned Adults.
All Assigned Adults must provide a copy of the Certificate of Completion to UWG Continuing Education-Continue West.
The University is committed to the safety and well-being of minors. Authorized staff and volunteers should be positive role models and treat others with respect, courtesy and dignity. Authorized staff and volunteers must abide by all USG policies and state and federal law and complete the UWG Staff/Faculty/Volunteer Code of Conduct Form.
All minor program/activity participants and their parent/guardian should complete this Minors in Sponsored Programs Participant Waiver. This form contains the following authorizations:

The Women in Leadership & Life (WILL) Workshop will be held on Wednesday, September 4, 2024, 8:30 AM-2:30 PM at City Station Event Center in Carrollton. The 1-day program will provide training tools and knowledge that fosters balance in your profession, education, and home.
The Meaningful Living and Learning in a Digital World Conference will be held at The Brice Hotel, in Savannah, Georgia on February 9-12, 2025.
You are invited to engage in our third-annual meeting which explores one of the most important issues of our era - how to live and learn with technology in ways that add authentic value to our lives and to the world. As we embrace the conveniences of emerging technologies in the classroom and beyond, we will explore ways to employ them with a people-centered approach that includes balance, compassion, healthy living, mindfulness and relationships.

The Distance Learning Administration 2025 Conference will be held at the Jekyll Island Club Hotel, in Jekyll Island, Georgia on July 27-30, 2025.
The DLA symposiums are specifically designed for those involved or interested in the administration, management, planning, and evaluation of distance learning programs.
